Ask an owner-MD when they last had a proper week off, with the phone switched off, and the answer is often a long pause. It isn’t that they don’t want one. It’s that the business still depends on them for things nobody else knows how to do.
A handover pack fixes most of that. It’s a short document that tells your team what happens while you’re away, who decides what, and where everything is. With AI doing the writing, you can put one together in a couple of hours.
What goes in a good handover pack
1. The decisions that normally come to you, and who makes each one while you’re away.
2. The regular jobs only you do, written as simple steps.
3. Who to call for what: key customers, suppliers, the bank and the accountant.
4. What counts as an emergency, and how to reach you if it really is one.
5. Where to find files, systems and the latest numbers. Never write passwords into the pack.
Step 1: Talk through a normal week
Open your AI assistant and talk, or type, through a typical week from Monday to Friday. Don’t tidy it up. Mention everything that lands on your desk, however small. Use a business account for your AI assistant and check its data settings before sharing customer or financial details.
“I’m the MD of a [type of business] with [number] staff. I’m going to describe a normal week. Turn it into a list of every task and decision that comes to me, grouped by type, and mark which ones someone else could handle with clear instructions.”
Step 2: Turn the list into instructions
“For each task marked as something someone else could do, write short step-by-step instructions a capable team member could follow without asking me. Ask me questions where you need more detail.”
Answer its questions. That’s the part that gets what’s in your head onto paper. If you’ve already written down how your business works, paste those processes in too.
Step 3: Decide who covers what
Name one person for each type of decision while you’re away, and give them a limit, for example discounts up to a set amount or spending up to a set figure. AI can turn your rules into a one-page “who decides what” table, but the names and limits are yours to choose.
Step 4: Test it before you go
Hand the pack to the team a week before you leave and ask them to use it for a day while you’re still in the building. Anything they have to ask you about goes into the pack. AI can tidy up the changes in minutes.
A typical example
Take an owner who normally fields around 20 questions a day from the team. If the pack answers even half of them, that’s 10 fewer interruptions a day while you’re away, and usually fewer when you’re back too. Swap in your own numbers.
A handover pack is also the quickest way to see how much of the business still runs through you. If the list in Step 1 is long, read how to stop being the bottleneck. We’re not IT people. We’ve sat in the MD’s chair and built the systems behind it, and we’ll talk to you in plain business terms.
