Fixed-price setup
Get your Monday morning back
We set AI up to build your weekly sales report, chart and summary from a simple export. Fixed price, done in two weeks.
Every business has one. The report that swallows somebody’s Monday morning. Download the figures, paste them into the spreadsheet, fix the columns that have moved, rebuild last week’s chart, write three lines about what it means, email it round. Then do it all again next week.
We’ll set AI up to do the gathering, tidying and first-draft thinking for you, train whoever owns the report to run it, and leave you with a routine that takes about 20 minutes instead of 2 hours. Fixed price, done in two weeks.
Sound familiar?
The same report gets rebuilt from scratch every week.
Most of the time goes on copying and formatting, not on understanding the numbers.
Only one person knows how the spreadsheet works, and everything stops when they’re off.
The summary at the top says what happened, but never what to do about it.
What we set up for you
An AI assistant that knows your report. Your layout, your key numbers (this week against last week, this month against last year, top customers, top products), and an example report so AI follows the same format every time.
A weekly Excel report in minutes. Export the week’s figures from your till, accounts package or online shop, drop the file in, and AI builds the report as an Excel file with a chart of the last eight weeks.
A plain-English summary. Five short bullet points on what changed, anything unusual, and one question worth asking the team, ready to paste into an email.
Built-in checks. The AI is instructed never to invent a number and to flag any figure that looks odd, with the row it came from, so you know exactly what to double-check.
A simple routine. Who exports the figures, who checks the report, who sends it, and when. Written down so it doesn’t depend on one person.
What it could save you
11 hours a week. That’s how long the average UK small business owner spends on admin and finance tasks. It adds up to about six working days a month, nearly twice the 3.6 days a month they spend on sales and growing the business.
42% gathering, 25% thinking. Even professional finance teams spend 42% of their time gathering data and only 25% on the analysis that actually helps the business. And when researchers have audited real business spreadsheets, they have found errors in 94% of them.
Here’s a typical example for one report. A weekly sales report that takes 2 hours, 48 weeks a year, is 96 hours a year. Cut that to 20 minutes of checking and you get back about 80 hours a year. That’s two full working weeks, spent on the numbers instead of the spreadsheet.
Your numbers will be different. We’ll work them out with you on the free call, so you know what to expect before you spend a penny.

How the two weeks work
Week 1: build. A 60-minute call, by phone or video, to go through the report you have today and the one you wish you had. You send us a recent export and an example report, and we build your AI assistant. Then we run last week’s figures through it and compare the result with your current report.
Week 2: train and hand over. A 90-minute training session by video for whoever owns the report. We fine-tune the instructions based on what they find, hand over your written routine, and book a check-in 30 days later to see how it’s going.
What it costs
£595 + VAT, fixed price. That covers the build, the training session, your written routine and the 30-day check-in, for one job: your weekly sales report.
Does it pay for itself? Here’s the rough maths, assuming the report drops to about 20 minutes of checking each week. We value staff time at £20 an hour, close to the UK median full-time pay of £19.67 an hour. That’s before employer costs like National Insurance and pension, so the real saving is higher. Swap in your own numbers.
What you put in: £595 + VAT, plus about 3 hours of your time over the two weeks (the 60-minute call, the 90-minute training session and pulling together an export and an example report).
A 1-hour weekly report: saves about 32 hours a year, worth around £640. Pays for itself in about 12 months.
A 2-hour weekly report: saves about 80 hours a year, worth around £1,600. Pays for itself in about 5 months.
A 4-hour weekly report: saves about 176 hours a year, worth around £3,520. Pays for itself in just over 2 months.
It works best if your reporting takes 2 hours or more a week. If it’s quicker than that, we’ll tell you honestly on the free call.
Pay figure: Office for National Statistics, Annual Survey of Hours and Earnings, median gross hourly pay excluding overtime for full-time employees, April 2025.
If you’re VAT registered you can normally reclaim the VAT, so the real cost is £595. Your AI subscription isn’t included and is paid directly to the provider, so we’ll help you pick the right plan before you start.
Keeping it safe
AI prepares the report, people check it and make the decisions. We set things up so only the figures the report needs go into AI, and you always keep the raw data as the record. Every number in the summary can be checked against the source.
Questions people ask
Do I need to be technical?
No. If you can export a spreadsheet from your system and drop it into a window, you can run this.
Will it work with my system?
Almost every till, accounts package and online shop can export a spreadsheet. We’ll check yours on the free call before you commit to anything.
We already live in Excel. Can it work inside our spreadsheet?
Yes. On paid plans, an AI add-in for Excel (such as Claude for Excel or Microsoft Copilot in Excel) can do the same job inside your own workbook. We’ll help you decide which route suits you.
Can it do our month-end report too?
The setup covers your weekly sales report. Once it’s running, the same approach works for a month-end summary, and we can add that as a second setup.
What happens after the two weeks?
The Project is yours and your team runs it. If you’d like help with the next job, or ongoing support, have a look at our advisory service.
