Fixed-price setup

Your Monday customer service reports, done before you’ve had a coffee

We set up a weekly customer service summary and a weekly reviews report that pull from your own help desk and review sites, check every figure, email your team and log your scorecard KPIs on their own. Fixed price, done in two weeks.

Most owner-managed businesses know customer service matters, but very few get a clear, trusted picture of it each week. Someone pulls reports from the help desk, counts reviews by hand, writes an email and then types the same figures into a scorecard. It’s slow, it’s easy to get wrong, and it’s the first job to slip when the week gets busy.

We’ll build it for you, connect it to your own help desk, review sites, mailbox and scorecard so nobody keys in data, run it as a draft until you’re happy with every figure, and train whoever will look after it. Fixed price, done in two weeks.

Sound familiar?

Nobody can say how many replies each person sent last week. The response time figure on the scorecard was typed in by hand, and nobody remembers how it was worked out. Some weeks are simply blank. And once, the reviews email went out with last week’s numbers in it.

What we set up for you

A weekly customer service summary, emailed every Monday: replies sent and tickets resolved by person, first response times (average and median), and who has customers waiting right now.

A weekly reviews report, read live from your review sites and cross-checked against a second source, in the format your team already knows, with a short list of things worth acting on.

Checks before anything is sent: totals must add up, sources must agree, and a separate checker reads every email against the raw data. If anything is off, it saves a draft and tells you why.

Your scorecard filled in: the week’s KPIs checked in with short notes, never overwriting anything a person has entered.

What it showed us

A backlog nobody could see. The first weekly summary showed a team that replies quickly on most tickets, but with many more customers waiting than the scorecard target, and open tickets with no owner. We built this inside a UK equipment business with a busy customer service inbox.

Reviews checked twice, in about five minutes. The first live reviews run went from start to finished draft in about five minutes. Both review sources matched on every review, and no figure needed correcting.

Follow-ups that would have been missed. The reviews run turned up four follow-ups for the team, including two older one-star reviews that still needed attention: one still showing as unrefunded, one with no reply.

Your results will be different. We’ll talk through your help desk, your review sites and the reports you produce now on the free call.

Results are from one real UK business we built this in. Its name and figures are kept private.

How the two weeks work

Week 1: agree and connect. We agree what every figure means with you, write the rules down, connect your help desk, review sites, mailbox and scorecard, and produce the first full week as a draft for you to check.

Week 2: check and switch on. We add the checks and the scorecard step, fix anything your review turns up, schedule both reports for Monday mornings, train whoever will look after them and hand over a written guide.

30 days later: check-in. We look at the run logs with you, fine-tune anything that needs it, and agree when it can send on its own.

What it costs

£795 + VAT, fixed price. That covers both weekly reports, the checks, the scorecard updates, training, a written guide and a 30-day check-in.

Does it pay for itself? Say someone spends 2 hours every Monday pulling help desk figures, counting reviews, writing the emails and updating the scorecard. That’s about 100 hours a year, or around £2,000 at £20 an hour, before you count the cost of a wrong figure reaching the leadership team. Typical example: swap in your own numbers.

What you put in: £795 + VAT, plus about 4 hours of your time over the two weeks: agreeing the definitions, signing in to your systems, checking the first draft, and the training session.

It works best for businesses with a help desk and online reviews, where someone currently pulls customer service figures by hand each week. If you don’t use a help desk, or nobody reads a weekly customer service report, you may not need this, and we’ll tell you so.

Typical example only. Pay figure: ONS ASHE April 2025 median, before employer costs.

If you’re VAT registered you can normally reclaim the VAT, so the real cost is £795. Your AI subscription isn’t included and is paid directly to the provider. We’ll tell you on the free call whether the plan you have is enough.

Keeping it safe

Your data stays in your own systems. The automation only reads your help desk and review sites: it never replies to, closes or changes anything. The AI never enters passwords; a person signs in. Nothing sends on its own until you’ve approved a full week of drafts, and even then only when every check passes. It never overwrites a figure a person has entered on your scorecard. The instructions and a run log are kept where your team can see them, and we agree the access we need with you in writing.

Questions people ask

Do I need to be technical?
No. We set everything up and train whoever will look after it. Changes like a new recipient or a different send time are made by asking the AI in plain English.

What if a figure looks wrong?
It won’t send. If any check fails, the email is saved as a draft with “Please check” at the top and a one-line reason, so a person decides what happens next.

Which systems does it work with?
Most help desks, review sites and scorecards have a connection, an export, or screens that can be read. We check yours on the free call before you commit.

What’s not included?
Your AI subscription, and replying to customers or reviews. The automation reports; your team still acts. Extra reports beyond the two weekly ones can be added as a separate piece of work.

What happens after the two weeks?
Both reports keep running every Monday. We check in after 30 days, and you can ask us to add more reports using the same pattern whenever you’re ready.
